Vendor Policies

  1. Location and AddressPlaza de Panama, 1450 El Prado, San Diego, CA 92101. All vendors will be assigned a specific space within the Plaza. Platinum Vendors will receive tent location. Gold Vendors will not be eligible to select tent space.
  2. Application Process: We accept applications on a first-come, first-serve basis. Applications will be reviewed on a rolling basis. Applicants can expect to hear back within 3 weeks if they are selected for a tent space or not. Once selected, Vendors must submit both the vendor fee and agree to the Vendor policies. 
  3. Payment: Preferred form is by paying via credit card on thanksgivingrun.org. Please note credit card payments will encur additional fees. We also accept check. Checks are payable to “Father Joe’s Villages 5K.” Check payments can be sent to this address: Father Joe's Villages, Attn: Gilda Caro, 3350 E St, San Diego, CA 92102. Please email 5K@neighbor.org if you plan on reserving your spot via check. 
  4. Cancellation/Refund Policy: If a vendor needs to cancel participation before November 1, 2026, a 50% refund will be issued. Refunds can only be issued if the original payment form was credit card. No refunds will be issued after November 1, 2026 or for payments made via check. There are no refunds in the case of inclement weather, acts of nature, or no shows. Please contact 5K@neighbor.org if you need to cancel. 
  5. Prices: Vendors must post prices in a legible manner and in a visible space inside the booth. We strongly encourage pricing to be in line with fair market standards and to reflect the quality and value of the items being offered. Vendors who do not post visible prices will not be invited back in 2027.
  6. Permits and Insurance Requirements: It is understood that all food vendors know the rules and regulations it operates under, and agrees and acknowledges it faithfully with due diligence. Food vendors must comply with the County of San Diego health requirements. 
  7. Parking: Each vendor will be provided with one (1) VIP parking pass to access the Organ Pavilion Parking Lot. Vendors must have this pass printed and displayed on their dashboard to access the lot. Any additional vehicles must be parked in the surrounding area.
  8. Electricity: You are responsible for providing your own electricity/generator. We do not supply these items and we will not have them available on site for rent or use. 
  9. Booth Space/Set-UpChairs, tables, and tents are available for an additional cost if confirmed by November 1, 2026. Set-up will occur on Thursday, November 26 from 4am-6am. Roads close at 6am sharp and no vehicles will be permitted to drop off after this time. Vendors may be open to guests from 6am-10:00am. If vendor selected a booth for November 25, vendors are to contact 5K@neighbor.org to receive set-up instructions for Packet Pick Up. 
  10. Promotion/Marketing: Vendors are encouraged to promote this event through any of their Social Media sites (e.g., Facebook, Twitter, Instagram). Please tag @fatherjoesvillages. Platinum Vendors and Beverage Garden donors will receive a vendor highlight on the Father Joe’s Villages Instagram story on the day of the event. 
  11. Check-In and Point of Contact: You will receive an email with day-of check-in instructions the week of the event. For all questions leading up to the event, please contact 5K@neighbor.org
  12. Overall Rights & Responsibilities: This acknowledgement shall be subject to the applicable laws of California. Any disputes shall be brought before the courts of San Diego, California. This acknowledgement indicates the vendor’s willingness to abide by all accompanying terms and conditions and general regulations listed on this document.
  13. Force Majeure: Neither party shall be liable for failure of or delay in performing obligations set forth in this acknowledgement, and neither shall be deemed in breach of its obligations, if such failure or delay is due to natural disasters or any causes beyond the reasonable control of either party.
